Primary Tasks:

Helpdesk Facility:

  • to take calls from internal and external customers concerning Estates and Facilities matters. All calls to be logged and prioritised according to core business need. Outstanding dockets are to be monitored and managed to ensure timely completion
  • to provide effective communication concerning progress and any unforeseen delays to customers
  • to ensure that all completed work orders are processed and filed the same day that they are received.

Post Processing:

  • responsible for opening and sorting the post in the morning and processing to distribution point
  • responsible for receiving post from around the site and processing in readiness for collection
  • collecting post and processing for dispatch
  • to deal with any queries from customers concerning the postal service
  • to remind customers as necessary that personal parcels are not permitted at work.


  • process all Estates and Facilities invoices in a timely manner to ensure that we are not responsible for incurring any late payment fees
  • to ensure that a clear and accurate record of all payments and commitments is kept up to date
  • to act as first line of enquiry to contractors and goods / service providers
  • to maintain the budget and expenditure database in order to ensure accurate expenditure data.

Goods and Services:

  • to provide a liaison point for the provision of goods and services. This is to include, sourcing of goods and services as requested
  • liaise with contractors as instructed in order to arrange contract visits in line with the requirements of Estates and Facilities
  • ensure that all contractors processes and paperwork are completed in a timely way
  • interface with customers to ensure clarity and understanding.

Meeting Facilities and Visitor Booking:

  • to rearrange rooms as required
  • forward any requests for hospitality to the Staff Restaurant for processing
  • to assist the marketing staff as required during preparation/packing up of large events.

Vehicle User Administration:

  • to act as first port of call for Enterprise, processing all queries and damage claims as required
  • to oversee the Approved Drivers / Driver Training list in order to ensure that records are maintained
  • to review and manage the site registered car list in order to ensure detail is accurately captured
  • manage the issue of fuel cards and sat navs ensuring that the correct processes are followed and items securely stored
  • manage the site vehicles as required by Estates conventions.

Site Tenants:

  • to act as first port of call for all tenant matters
  • refer tenant queries to different Estates team according to their need/content.

Support Duties:

  • to carry out general support duties to the Estates and Facilities team as required.

Other Duties:

  • any other support duties appropriate to the role as required.

Shortlisting and Interview Criteria



  • a formal Facilities Management qualification or relevant work experience
  • GCSEs at grade C or above (or equivalent) including English and Maths.


  • Membership of the British Institute of Facilities Management (BIFM).



  • proficient in the use of FM databases/software
  • experience of working in a Help Desk environment
  • experience of working within a customer services environment.


  • experience of working with a Shared Services Centre.



  • knowledge of Microsoft Office products, particularly Excel and Word
  • experience of working with a FM Records Management System.


  • knowledge of Health & Safety processes
  • knowledge of the work of BGS and its core values.

Working hours will be 37 per week excluding lunch breaks.
