The Science and Technology Facilities Council’s Microelectronics Centre, based at Rutherford Appleton Laboratory in Oxfordshire, is dedicated to stimulating the use of modern electronic design techniques and tools in academic institutions throughout Europe to enhance their microelectronic and microsystem design, research and training capabilities. We facilitate this by offering a comprehensive range of services including technical consultancy, access to industry-leading electronic design tools and dedicated training courses to more than 600 academic institutions across Europe.

About the role

The MSC is a Division within Technology Department at the Rutherford Appleton Laboratory. The MSC office provides a professional customer support role and is the main administrative and financial interface with our academic customers as well as performing the first stage processing of technical enquiries.

As part of the work, the MSC provides short courses (up to one week) to its members on a variety of topics. It is also responsible for booking delegates onto courses offered by our project partners in Belgium and Germany. In the past year, 301 delegates from 117 institutes representing 26 countries attended courses administered by the MSC.

The post is to provide maternity cover for a Senior Customer Support Executive in the MSC Customer Support Office and will report to the Office Manager. This role has responsibility for the administration of these bookings, the generation of invoices and the administration of legal agreements. The information disclosed on the courses usually requires several legal agreements to be in place to cover the technical content of the course, some at the institute level and some with the individual. You will need to efficiently communicate with the delegates and our project partners to ensure that all legal agreements are in place. For courses held at the Rutherford Appleton Laboratory, you will also be responsible for daily course administration while the course is taking place.

The MSC makes available design tools to its customers and the use of these tools is contingent on the payment of initial and annual fees. You will have the responsibility of reconciling incoming payments on a daily basis with the invoices issued by our system. The total value of the issued invoices is €3.1M spread across 1000 payments. Payments are heavily concentrated in a four month period from October to January. Once reconciled these payments must be transferred to our main corporate finance unit.

You will be the first point of contact for our customers and be responsible for the assignment of new enquiries to the technical and admin team members. All enquiries are logged as part of our QA system.

Each month a consolidated order is placed to request licenses from one of our major vendors. This requires careful checking of the technical data in all user orders and the preparation and processing of the data required to generate a monthly license order.

Full training will be given for all of the systems used. Following the initial training period you may be asked to cover for other members of the admin team when they are absent.

About you

You will need to be flexible in satisfying the requirements of our customers and actively encourage them to pay their invoices on time.  In addition, you must have excellent communication skills including the ability to work with senior colleagues, STFC financial staff and technical staff within the MSC. Strong analytical skills will be needed including the ability to extract rapidly the key information from database and numerical data, sometimes to tight timescales.

You will also have the ability to quickly become familiar with the contents of our technical portfolio.

Shortlist criteria

Essential:

  • previous experience in an administrative or finance admin role
  • intermediate to advanced MS Office skills
  • good written communication skills (in English) as evidenced by a cv and cover letter
  • previous experience with a database or CRM system.

Desirable:

  • knowledge of Access databases
  • previous experience of reconciling payments, in particular international payments
  • previous experience in a technical or scientific environment would be an advantage.
